Privacy Policy

This Privacy Policy describes how Chiefly ("we", "us", the "app") collects, uses, and protects information when you use the Chiefly mobile application. Chiefly is built and operated by Tim Vaughan as an independent developer.
Information we collect
Account information
When you sign in using Apple, Google, or Microsoft, we receive your name and email address from the identity provider. We store these in Supabase (our backend database) so we can associate your coaching history, journal entries, and meeting notes with your account.
Leadership profile
You tell us your leadership type (for example, military NCO, officer, civilian manager) so the app can tailor coaching advice. This is stored with your account.
Coaching conversations
When you talk to your AI Chief, the text of your conversation is sent to OpenAI via our backend so the coach can respond. Voice audio is transcribed on your device using Apple speech APIs or sent to OpenAI Whisper for transcription and is not stored after transcription.
Meeting notes
When you record a meeting, audio is transcribed and sent to OpenAI for analysis. The resulting meeting note is stored locally on your device. Raw audio is not stored after transcription.
Decision journal entries
Journal entries you create are stored in Supabase associated with your account so you can access them across sessions.
Subscription information
Subscription state is managed by RevenueCat and Apple. We receive your subscription status (active, expired, trial) but never see your payment details, card numbers, or Apple ID password.
Diagnostic data
We use Sentry to capture crash reports and error logs. These may include device model, iOS version, app version, and a stack trace, but do not include the contents of your conversations, journal entries, or meeting notes.
How we use your information

- Diagnose crashes and improve app stability
- Respond to your support requests
We do not sell your personal information. We do not use your coaching conversations, journal entries, or meeting notes to train AI models.
Third-party services
Chiefly relies on the following processors:
- Supabase - account data, journal entries, authentication
- OpenAI - coaching responses and meeting analysis (gpt-4o, Whisper)
- RevenueCat - subscription management
- Apple / Google / Microsoft - sign-in (only when you choose that provider)
- Sentry - crash and error reporting
Each of these services has its own privacy policy. We only send the minimum data needed for the feature to work.
Data retention
We keep your account data for as long as your account exists. You can delete your account at any time from Settings - Delete Account inside the app, which removes your profile and associated data from our servers. Meeting notes stored on your device are removed when you delete the app.
Your rights
You can request a copy of your data, correct inaccurate information, or delete your account by emailing us at the address below. If you are in the EU, UK, or California, you have additional rights under GDPR, UK GDPR, and CCPA including the right to object to processing and the right to data portability. We will respond to verified requests within 30 days.
Children
Chiefly is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, email us and we will delete it.
Security
We use industry-standard security measures including encrypted connections (HTTPS) for all network traffic and encrypted storage for account data. No method of transmission or storage is 100% secure, but we take reasonable steps to protect your information.
Changes to this policy
We may update this policy from time to time. Material changes will be communicated through the app or via the email address associated with your account.
